What to include in a company profile: every section, what it must prove, and what contractors add

A strong company profile runs in this order: who you are in numbers, what you do, who you did it for and when, how you work, and who answers the phone. Every page has to prove one thing to the reader, and a contracting company adds projects with value and year, equipment, its technical team and its contractors’ federation certificate.

By Khaled Alhussein, founder of Webdazzle. The numbers come from profiles we made (pages counted from the delivered PDFs) and from real questions people typed into Google and freelance boards in October 2026.

What is a company profile, and who actually reads it?

A company profile introduces your company to someone who does not know it yet: a new client, a tender committee, or a partner sizing you up. Each of them opens it with one question:

  • The client: have you done something like what I need?
  • The tender committee: are the papers complete, and do the profile's numbers match them?
  • The partner or distributor: how big are you, and can you keep up?

Every page should answer one of these. A page that answers none gets skipped.

What should a company profile include, in order?

The order we build in, and what each section must prove:

  1. Cover: company name, what you do in one line, the year of the profile. Proves the file is current.
  2. Who we are, in numbers: year founded, team size, where you work, your strongest figure. Proves you are real, and how big.
  3. The problem you solve: the client's problem in the client's words. Optional, but it lands. Proves you understand them.
  4. Services or products: each with its scope, who it is for and how it is delivered. Proves you do something specific, not "everything".
  5. Work and proof: named projects, named clients (with permission), figures, reviews, real photos. Proves you have done it before. The most important section.
  6. How you work: the steps from first call to handover, and promises you can keep. Proves you will deliver.
  7. Team and management: the names and experience that matter. Proves who is accountable.
  8. Papers and certificates: commercial register, tax card, and quality certificates you actually hold. Proves you can sign a contract.
  9. Contact, on the last page: a named person, mobile, email, address, website, QR code. Proves someone will answer.

Vision and mission? If they say something real, two lines inside "who we are" will do. None of the three profiles in the table below gives them a page of their own.

How many pages should a company profile have?

We opened three profiles we made this year, page by page: our own ("Ours", 13 pages), a management consultancy ("Advisory", 17) and a software company ("Software", 18), and sorted every page into the sections above:

SectionOursAdvisorySoftware
Cover111
Who we are152
Client's problem021
Services149
How we work123
Work and proof820
Contact112
Total131718

"Who we are" covers the intro, the founder and what sets the company apart; "client's problem" includes who they serve; "work and proof" means projects, clients and reviews. They differ because the proof differs. Ours has plenty of finished work, so 8 of its 13 pages show it. The consultancy has published client reviews, which get two pages. The software company leans on services (9 of 18 pages), delivery steps and promises.

Across 7 profiles we have made, page counts were 9, 13, 14, 17, 17, 18 and 27 (the last one Arabic only): 5 of the 7 between 13 and 18. Your proof sets the page count, not the other way round. For the cost side, see company profile cost in Egypt.

Which mistakes get a profile closed in the first pages?

  • Vision, mission and values pages before the reader knows what you do.
  • No numbers: "long experience in the field" instead of "founded in year X, Y projects delivered".
  • Stock photos of cranes, glass towers or smiling teams. A phone photo from your own site says more.
  • "Leading" and "the best" with no evidence beside them.
  • "Certified", or a certificate logo you do not hold. The file loses all credibility the moment someone asks for the certificate.
  • No named person and direct number on the last page. A generic inbox alone is not contact.
  • A file too heavy to send: the first version of a 17-page profile we made was 15.7 MB because of how its images were processed; it came down to about 2 MB with no visible change.
  • Stale data: a "latest project" from years ago, or a mobile nobody answers.

What does a contracting company's profile add?

In Google's suggestions for Egypt (October 2026), «بروفايل شركة مقاولات» (contracting company profile) had more variants than any other profile phrase: over 20, from PDF and Word to "ready to edit". A real brief on the freelance platform Mostaql sums up the need: a profile of the projects a contractor executed, "including achievements, project photos and all the data". On top of the sections above, contractors add:

  • Projects in detail: name, owner or client (with permission), location, type of works, value, year, status (handed over or ongoing), and photos from the site itself.
  • Equipment: type and count, owned or rented. State it as it is.
  • Technical team: number of engineers, their disciplines and years of experience, and who runs the projects.
  • Federation registration: registration with the Egyptian Federation for Construction and Building Contractors is asked for in government tenders; for example, the New Urban Communities Authority tendered works "among companies registered with the federation" (Al-Ahram Gate, 8 November 2016, Arabic). Show the certificate as issued and copy any classification or grade on it word for word, never rounded up.
  • Quality and safety: ISO or other certificates you really hold, with their expiry dates.

And the past-work list? Tenders also ask for «سابقة الأعمال», a table of completed projects. The profile introduces the whole company; the past-work list proves experience in one type of work. Build both from exactly the same numbers, and if the tender booklet sets a format, fill it as it is. To show the same projects online, see websites for contracting companies.

Should the profile be a PDF or a page on your website?

Both, and each has its own job:

  • The PDF goes out on WhatsApp and email, gets printed, and goes into the tender envelope. Keep it light: our own profile is 6.2 MB for print, so we made a 3.2 MB email copy, because the email service we send through wants each attachment under 4 MB.
  • A page on your website can be found on Google, always shows the latest version, and is one link instead of a file. Give it a button to download the PDF.

One condition: the same numbers in both. If the website says one figure and the profile another, the reader doubts both.

Can a "ready to edit" company profile template win a tender?

«بروفايل شركة مقاولات جاهز للتعديل مجانا» (free ready-to-edit contracting profile) is among the suggestions Google showed us, so many people want a template. A template gives you a layout, but the committee and the client are checking projects with values and years, certificates and the team, and only you can supply those.

Templates also arrive with generic pages already filled: vision and mission, stock cranes, "we are a leading company". Left as they are, they say nothing about you and may match a competitor who downloaded the same file. Replace every word and photo with your real data and a template can work. So the question is not "template or design"; it is "is your data in it?"

How do you make a company profile? Gather these first

Put these in one folder before any design starts. With them any designer can work; without them the best design comes out empty:

  • Year founded, number of staff, and where you operate.
  • Projects or clients: name, year, size or value, and which clients agree to be named.
  • Real photos: the work, the premises, the team, the equipment.
  • Valid certificates and official papers.
  • Your logo, colours and fonts.
  • The name, number and email of the person who will answer.

The short version

  • Order: who we are in numbers, what we do, who we did it for, how we work, team and papers, who answers.
  • Each page proves one thing to the reader; work and proof matters most.
  • 5 of our 7 profiles landed between 13 and 18 pages; your proof sets the count.
  • Contractors add projects with value, client and year, equipment, the technical team, and the federation certificate exactly as issued.
  • A light PDF for sending plus a page on your website, with the same numbers.
  • A template gives you a layout; your data is what persuades.

Want us to make it with you? We build the profile on your brand identity, in the order above; our company profile design page shows samples. If you need the profile and the website together in Arabic and English, the Tender-Ready package includes both plus the first month of content for EGP 22,000, ready in 7 working days from the day your information is complete.

Questions we get a lot

What are the essential contents of a company profile?

In order: cover, who you are in numbers, the problem you solve, services or products, work and proof, how you work, the team, papers and certificates, and finally contact details with a named person and number.

How many pages should a company profile have?

Across 7 profiles we made, the count ran from 9 to 27 pages, and 5 of them sat between 13 and 18. Your proof sets the number (projects, clients, figures), not filler pages.

What do I write in the "about us" section?

Year founded, team size, field, where you operate, and your strongest single number. Numbers instead of words like "leading" or "long experience".

What must a contracting company profile include?

On top of the usual sections: projects with value, client, year, status and photos; equipment, owned or rented; the technical team and its disciplines; the Egyptian Federation for Construction and Building Contractors certificate exactly as issued; and quality and safety certificates if you hold them.

What is the difference between a company profile and a past-work list?

The profile introduces the whole company; the past-work list («سابقة الأعمال») is a table of completed projects that tenders ask for to prove experience in one type of work. Both must come from the same numbers.

Is a ready-to-edit profile template good enough?

Only as a layout, and only if you replace every word and photo with your real data. The generic pages and stock photos it comes with prove nothing about your company.

Should the profile be a PDF or on the website?

Both: a light PDF for WhatsApp, email, print and tenders, and a page on your website that Google can find and that stays up to date, with the same numbers in both.
